Importing your data from a spreadsheet

Updated October 2, 2026

Owners and managers can bring their teachers, courses, groups, students and lesson balances over from Excel, Google Sheets or another system under School settings → Import data. Each file holds one kind of record.

Import in this order, because each step finds what the earlier ones added by email or name. Skip the steps you don't need.

  1. Teachers: name, email (they need it to sign in), phone and subjects.
  2. Courses: name, price per lesson, lesson length in minutes, level and capacity.
  3. Groups and schedules: name, course, teacher (email or full name), schedule, start date, group type and room. Write the schedule as days, start time and minutes, for example Mon,Wed 18:00 90, and separate several times with a semicolon: Mon 18:00 90; Thu 17:00 60. Lessons are created from the start date, or from today when it is empty.
  4. Students: the name in one column or in first-name and last-name columns, email, phone, date of birth, guardian, level and notes. Students under 16, and anyone with a guardian, need yes in the guardian consent column.
  5. Students in groups: the student (email or full name) and the group's name.
  6. Lesson balances: the student, the course and the lessons left on the day you start using Lessora. A negative number means the student owes lessons. Value is optional: what those lessons are worth together. When it is empty, Lessora uses lessons × the course price.

How an import works

  1. Download the Template for the type, or use your own file. CSV and Excel (.xlsx) both work, up to 5,000 rows, with the column names in the first row.
  2. Choose what the file contains and select Upload and match columns.
  3. Check that each field points to the right column. Lessora guesses from the column names and remembers your choice for the next file of that type. A field set to Not in the file stays empty.
  4. Select Check the file. You see how many rows will be added, updated or skipped, which have errors, and why. Nothing is saved yet.
  5. Start the import. It runs in the background, so you can leave the page. When it finishes, Download report gives you every row with its result.

Rows that already exist are skipped, unless you tick Update records that already exist. People are matched by email (students without an email by name), courses and groups by name. After you fix rows with errors, import the same file again: the rows already imported are skipped.

Invitations go out only if you tick Send invitations by email. You can also check the imported people first and invite them later with Send invitation on their profile.

Each student gets one opening balance per course. To change it later, use Correct balance on the student's page.

Tip Import a file with two or three rows first and look at the result in the app before you import the rest. Write dates as 2025-09-01 or 01.09.2025 and amounts as 45 or 45,50.

Uploaded files and reports are deleted after 30 days.
